Terms & Conditions

Thank you for choosing Avoca String Quartet. We are delighted to be part of your special occasion.

Our Terms & Conditions are designed to ensure that, from the point of booking to the performance, expectations are mutual
and deliverable, information provided is clear and the needs of both parties met insofar as possible.

01 — Booking & Confirmation

A booking is confirmed once we have received the completed booking information and the required €50 booking fee.

The €50 booking fee is non-refundable and secures your date with Avoca String Quartet. Once your booking is confirmed, we reserve the date exclusively for you and will decline other enquiries for the same date.

Until the booking fee has been received, the date cannot be considered fully secured.

The remaining balance is due 10 working days prior to the event date.

Where a booking is made within 10 working days of the event, full payment will be required to confirm the booking.

Payment can be made by bank transfer or another payment method agreed with Avoca String Quartet.

If the client cancels a confirmed booking, the €50 booking fee remains non-refundable.

For cancellations made after the booking has been confirmed:

•⁠  ⁠More than 90 days before the event: the €50 booking fee is retained.
•⁠  ⁠90–30 days before the event: 50% of the remaining balance is payable.
•⁠  ⁠Less than 30 days before the event: the full outstanding balance is payable.

These terms reflect the fact that our musicians reserve the date exclusively for each client and may have declined other bookings as a result.

Clients are welcome to select music from the Avoca String Quartet repertoire.

Music selections should be submitted at least one month before the event, unless otherwise agreed.

We are also happy to consider special song requests that are not currently within our repertoire. Special arrangements may require additional preparation time and, depending on the request, an additional arrangement fee may apply.

We ask that special requests are made as early as possible.

For wedding ceremonies, Avoca String Quartet will normally arrive and set up approximately 30 minutes before the agreed performance time.

We provide complimentary prelude music while guests are being seated, beginning approximately 10 minutes before the ceremony.

The quartet will perform the agreed ceremony music and any additional music included within the booking.

Where a drinks reception or additional performance time has been booked, the agreed performance period will be confirmed in advance.

Any additional performance time requested by the client beyond the agreed booking period will be subject to an additional fee.

We will accommodate additional playing time where reasonably possible, subject to the musicians’ availability and any other commitments.

For outdoor performances, the client or venue must provide suitable protection for the musicians and instruments from rain, dampness, direct sunlight, excessive heat, cold and strong wind.

Our instruments are particularly sensitive to weather conditions and cannot safely be exposed to unsuitable conditions.

An appropriate sheltered area must therefore be available. Where adequate protection cannot be provided, Avoca String Quartet reserves the right to move the performance indoors or suspend the performance where necessary to protect the musicians and instruments.

The safety of our musicians and the protection of our instruments will always take priority.

The confirmed ceremony time must be provided to Avoca String Quartet at least three months prior to the wedding date.

If the ceremony time is changed after it has been confirmed, the client must contact Avoca String Quartet as soon as possible.

Changes to ceremony times may affect our musicians’ schedules and other professional commitments, particularly during busy periods. While we will always do our best to accommodate changes, we cannot guarantee that a new ceremony time can be accommodated.

Avoca String Quartet will make every reasonable effort to accommodate delays or changes on the day where possible. However, our musicians may have other professional commitments before or after your booking, and significant delays or changes to timings may affect the agreed performance period.

Any additional performance time requested as a result of delays or changes will be subject to an additional fee where applicable.

In the unlikely event that a member of Avoca String Quartet is unable to perform due to illness, emergency or circumstances beyond our control, we reserve the right to provide a suitably qualified professional substitute musician where possible.

Every effort will be made to maintain the same professional standard and musical quality.

If Avoca String Quartet is unable to provide the agreed performance and no suitable replacement can be arranged, any payment made for the affected performance will be refunded.

Avoca String Quartet will not be liable for failure or interruption of a performance caused by circumstances beyond our reasonable control, including severe weather, venue closure, transport disruption, government restrictions, serious illness, emergency or other unforeseen circumstances.

Where possible, we will work with the client to find a reasonable alternative arrangement.

Avoca String Quartet is committed to providing a professional, respectful and enjoyable service.

Our musicians must be provided with a safe working environment and will not be expected to perform in circumstances that could reasonably place them, their instruments or equipment at risk.

Payment of the €50 booking fee constitutes acceptance of these Terms & Conditions.

By confirming a booking with Avoca String Quartet, the client acknowledges that they have read and accepted these Terms & Conditions.
